Performs administrative or secretarial duties in support of the department manager and/or professional staff in related matters.
Representative Duties /Assignments
Duties may vary based on area of assignment.
Composes departmental correspondence and documents. Coordinates and completes administrative projects which may be of a confidential nature. Provides information on county policies and procedures to county employees and citizens. Conducts research, data collection and analysis of information for use in reports, presentations and meetings. May supervise clerical and or secretarial staff.
Provides administrative support for any board or committee established and maintained by department. Prepares board or committee decisions for presentation to the Board of County Commissioners. Records, transcribes and publishes from cassette tapes or written notes/formal board minutes. Prepares and distributes agendas.
Transcribes, proofreads and edits complex reports. Receives, reviews and distributes plans or requests for variance to the appropriate staff.
Schedules meetings, prepares agendas, collects and provides support materials, coordinates staff reports and prepares consolidation of reports for use by appropriate staff, consultants and other interested parties.
Ensures appeals and public hearings requests are handled in a timely manner. Interacts with elected officials, consultants, County staff members and the general public.
Participates in emergency activities/response.
Performs other related duties as assigned.
Minimum Qualifications
Graduation from high school or equivalent and five years of secretarial or administrative assistant experience; or an equivalent combination of relevant education and experience.
Based on area of assignment, previous experience in office supervision or management.
Preferred Qualifications
Medical Clinic/Medical Examiner/EMS
Associates degree in field associated with area of assignment. Certification as a Certified Medical Transcriptionist and/or Accredited Records Technician depending on area of assignment.
If required of the position, the hiring department may require the ability to type at a rate of 40 or 55 correct words per minute and/or PC experience with word processing, spreadsheet or presentation software, based on area of assignment.
May be required to demonstrate proficiency in shorthand, ability to transcribe dictation and operate dictation equipment. Demonstrated organization skills.
May be required to demonstrate intermediate to advanced proficiency in word processing, spreadsheet, or presentation software, grammar, spelling, setting priorities, or correspondence compositions.
May be required to possess and maintain a valid Florida Driver’s License or ability to obtain a Florida Driver’s License within six months of hire date.
